Welcome to The Vibe Spot XP! We're excited to bring your event vision to life. Please review our standard policies below to help ensure a smooth planning process and successful experience.

🔐 Privacy Policy

All personal information shared with The Vibe Spot XP (via forms, emails, or during consultations) is kept strictly confidential and used solely for the purpose of event planning and communication.

🤝 Client Responsibility

Clients are responsible for:

  • Providing accurate event details, including guest count and venue access.

  • Ensuring all necessary rules are followed (i.e., venue policy, noise ordinances, etc.).

  • Communicating any changes or special needs in a timely manner.

📸 Media & Content Usage

By booking with The Vibe Spot XP, you grant us permission to capture and use photos and videos taken during the event for promotional use (website, social media, portfolio).

 

If you prefer to opt out, please notify us in writing prior to your event date.

📞 Communication

All official communication will take place via email or scheduled call. Response time is typically 24–48 hours (Monday–Friday).

 

For urgent matters, please contact us directly via the method provided in your booking confirmation.

💳 Payments & Deposits

To secure your event date and begin planning:

  • A non-refundable deposit is required upon booking.

  • The remaining balance is due 7 days before the event date unless otherwise agreed upon in writing.

  • Payment plans may be available for select services.

We accept payments via e-transfer, PayPal, and direct deposit.

📆 Cancellations & Rescheduling

  • Cancellations made 14 days or more before the event may be eligible for partial credit toward a future event.

  • Cancellations made within 14 days of the event date are non-refundable.

  • Any additional costs incurred due to rescheduling are the responsibility of the client.
